Changing plans

Increases take effect immediately and are charged at once, prorated. Decreases take effect at the end of the period. Adding the API restarts an annual term.

The short answer

Changes are made on the Billing screen by the owner or a billing contact; everyone else sees it view only. Increases apply immediately, prorated to the rest of the period and charged to the card when you confirm, and the app shows the exact amount first. Decreases apply at the end of the period, are not credited, and what was paid for stays usable until then.

What applies when

At once, charged now: a higher plan; switching from monthly to annual; more seats; more county slots; adding the API add-on. At period end: a lower plan; switching from annual to monthly; fewer seats or county slots; removing the API add-on; cancelling. On an annual plan, period end is the anniversary. A scheduled change is tagged Scheduled on the Billing screen and can be withdrawn on its own before it applies.

Choosing a plan from Free needs a card on file: save one under Payment method, then choose a plan, monthly or annual.

The API add-on

The add-on is sold only with an annual plan, on every paid plan; on a monthly plan the app explains there is no month-to-month path to an API key. Adding it during an annual term starts a new twelve-month term for the whole subscription: the unused value of the current term is credited, the new term is charged at once, and API access begins when that payment succeeds. If the card is declined, nothing is granted and the term does not restart. Removing the add-on takes effect at period end, with no credit, and its keys are revoked when it ends.

Seats and counties

Buying seats is charged now, prorated; releasing seats applies at renewal. Counties can be added at any time and any count over the allowance is charged now, prorated. Removing counties is gathered into a batch on the monthly billing date; a smaller paid county count applies at period end. See changing your counties.

If a card is declined

A declined increase is kept, and the organization is past due until it is paid: see past due and suspension.

Cancelling, and why nothing is refunded, are on cancelling and refunds. Invoices are on invoices and payment.
